What is a Project Briefing Memorandum?

The Project Briefing Memorandum (PBM) is a concise document, typically used to inform stakeholders, decision-makers, or team members about the core elements of a project. It provides a high-level summary of project goals, scope, and key deliverables to ensure shared understanding and to guide the project from inception to execution.

Main Contents of a Briefing Memo

  • Purpose / Background. Clearly defines the need for the project and why it is being initiated and implemented.
  • Objectives. Identifies specific goals, including time, cost, and quality targets.
  • Scope & Deliverables. Outlines what will be delivered (or deliverables), along with boundaries on what is not included.
  • Key Stakeholders & Team. Identifies the project manager and key players/Stakeholders.
  • Constraints & Assumptions. Outlines limitations (e.g., budget, timeline). Milestones / Timeline: Key dates for project phases.

Purpose of a Briefing Memo

  • Internal Communication. Used for communicating policies, procedures, or official business updates within the Project Company / Project Owner by the Project Lead Developer, MDACI.
  • Alignment. Ensures everyone involved has a shared understanding of project bankable implementation expectations by MDACI.
  • Decision Making. Helps managers and stakeholders quickly grasp a situation to make informed decisions.

  • At the beginning of a project (Initiation Phase).
  • To defined the project scope, specifying what is included and what is excluded.
  • To update teams on new project developments.
  • For presenting a project concept to leadership for approval

Main Tips for Briefing Memo

  • Keep it concise. Focus on essential information.
  • Be specific. Vague goals lead to poor results; define what "success" looks like.
  • Make it accessible. Should act as a living document throughout the project.
  • Use standard formats. The header often includes: To, From, Date, and Subject.
